A feature list is useful, but the real test is whether your team can run a visit from first request to final payment. Use this guide to compare pet care software with the situations your facility actually handles. This guide is published by Bookings by Hugo, the software provider.
Start with a multi-pet, multi-service booking
In a demo, create a sample family with two pets, different care instructions and more than one service. Check how arrivals, overnight dates, grooming appointments and pickup appear to staff. Ask whether the same client and pet information is shared across services or must be entered again. Use sample data rather than real client records when evaluating a public demo.
Test a package, membership and add-on together
Ask how included benefits are configured, how usage is recorded and what happens when a benefit is exhausted. Add an extra service and inspect the invoice line by line. Check renewal dates, introductory periods and payment recovery workflows. A system should make it understandable which charge or benefit applies to which service.
Follow a vaccination upload all the way through review
Submit a sample updated record and find the staff approval queue. Verify that the team can identify the pet, review dates and resolve an unclear document. Then follow feeding instructions, medications and care notes into the daily staff workflow. A collected document is useful only when the people making care decisions can review it.
Compare communication channels and total cost
Ask separately about in-app DMs, email, push notifications and SMS/MMS. They are different channels with different costs and delivery conditions. Compare the base subscription, activation charges, messaging credits, payment processing and optional services. Bookings by Hugo includes unlimited in-app direct messaging; SMS/MMS activation and credits are additional.
Check daily usability and the exit plan
Try the system on the computers, tablets and phones your staff use. Test role access, blocked calendar time, checkout and reporting. Ask what an export includes, how uploaded documents are handled and what help is available if you switch systems. Confirm any migration assistance, timelines or fees directly before committing; do not assume an automatic transfer.
